Document detail view

Member+

Open the detail view by clicking any row on the Documents page. Viewers can open it too. They see every field in read-only mode and cannot edit or run actions.

What you see

The page splits into two panes. The original PDF sits on the left, and the extracted fields sit on the right.

Document detail view with PDF on the left and fields on the right
Dashboard then Documents then one document. Show the PDF preview on the left and the Source, Status, Amounts, and Details cards on the right.

The PDF preview comes from a one-hour signed link. Click it to zoom or open it in a new tab, and scroll within the pane for multi-page files.

The right pane groups the extracted fields:

  • Source shows the sender, subject, source type, file name, and the date received.
  • Status shows the document's processing status and the invoice's payment status. You can change the invoice status from a dropdown.
  • Vendor appears in the header. Change it with the Change vendor action.
  • Amounts holds subtotal, tax, discount, total, and the three-letter currency code.
  • Details holds the invoice or receipt number, purchase order, issue date, due date, payment date, and payment method.
  • Recipient (Bill To) fields (recipient name, email, address, country, and VAT ID) are extracted and stored when the document includes them, though the detail view does not show them as a separate group yet. See Invoices and receipts for the full field list.
  • Line items shows the itemized breakdown when the document has one: description, quantity, unit price, and amount.
  • Tags can be added here, set in bulk from the list, or applied by AI rules.

Edit a field

If you can edit, each field shows as an input you can change directly.

Change the value

Type into the field, pick from a dropdown, or use the date picker.

Save

Click Save at the top of the pane. The page refreshes with your changes.

Your edits are kept and never overwritten on their own.

Actions

The action buttons sit at the top right. Some live in the more-actions menu behind the three-dot icon.

  • Reprocess re-runs the full AI pipeline on the document. Use it when extraction failed or you have a clearer scan. It consumes one credit and replaces the current fields, including any edits you made. Admin+
  • Exclude marks the document as not an invoice. Reports and reconciliation skip it, and the file stays in storage. Member+
  • Export sends the document to Google Drive, Google Sheets, or OneDrive, whichever you have connected under Settings then Integrations. Member+
  • Push to accounting sends the invoice to a connected provider such as QuickBooks or Dynamics 365. Member+
  • Share creates a public link with an expiry, for sending the invoice to someone outside your organization.
  • Download saves the original PDF.
  • Delete permanently removes the document and its extracted data. Admin+

When extraction quality is poor, edit the fields by hand rather than reprocessing. Manual edits stay put, while reprocessing runs a fresh AI pass and overwrites them.
