The Telegram bot lets your team send invoices straight from their phone. A teammate forwards an invoice PDF or snaps a photo of a receipt, sends it to the bot, and Inbox Ledger captures it like any other source.

How it works

An admin or owner sets up the bot once and adds a list of allowed Telegram usernames. Only those usernames can send documents to the bot, and anything from an unknown username is ignored.

A username can belong to only one organization. If a username is already registered elsewhere, Inbox Ledger refuses to add it.

Set it up

Open Sources

In the dashboard sidebar, open Sources and scroll to the Messenger Bots section.

Connect the Telegram bot

Click Connect on the Telegram card.

Add allowed usernames

Enter the Telegram usernames of the teammates who may send invoices, then save.

Tell your team to message the bot

Each approved teammate opens the bot in Telegram and forwards an invoice PDF or sends a photo of a receipt.

Dashboard then Sources. Show the Telegram source card with the allowed-usernames list and the save button.

Accepted files

  • File types: PDF, JPEG, and PNG.
  • Size cap: 20 MB per file.

Files sent through the bot are treated as explicit intent, so they are not pre-filtered the way email attachments are. Whatever an approved teammate sends goes straight into processing.

Confirm it worked

After a teammate sends a file, open Documents. Within a few minutes the invoice should appear with the vendor and total filled in.
