How to get Pipedrive invoices

Sign in and open Billing settings
Go to app.pipedrive.com and sign in with an admin account. Click your profile initials in the top-right, then Company settings, then Billing in the left sidebar. The direct URL is app.pipedrive.com/settings/billing. Regular users and Sales Managers cannot see this tab. If you do not see Billing at all, you are signed in on a non-admin seat and need to ask your workspace admin to download invoices or grant you the right role.

Open the Invoices tab
Inside Billing you will see tabs for Plan, Payment method, and Invoices. Click Invoices to see the full history, with date, invoice number, billing period, and amount columns. Pipedrive shows the main subscription invoice at the top of each billing cycle and separate invoices for add-on charges such as LeadBooster, Campaigns, or Projects. Mid-cycle seat additions show up as pro-rated entries on the next regular invoice, not always as a fresh document.

Download each invoice as PDF
Click the download icon on the invoice row, or click the invoice number itself to open the detail view and download from there. Pipedrive issues invoices through Stripe, so the PDF carries the Stripe layout with Pipedrive OÜ as the seller and the Estonian business registry number printed in the footer. For EU customers the reverse-charge VAT note appears when you have a valid VAT ID on file.

Rename and file the PDFs
Use a naming pattern such as date plus Pipedrive plus amount so monthly files sort cleanly. If you run separate Pipedrive accounts for different brands or acquired sales teams, each has its own workspace URL and its own Billing tab, so keep a folder per workspace. Do this at the same time you download so the add-on invoices for LeadBooster or Campaigns do not end up mixed into your main subscription folder.

Pipedrive runs your sales pipeline. Getting the monthly invoices out of Billing settings for finance is a different ritual, and the edges get rough once add-ons and VAT rules enter the picture.
If your organization sits in the EU outside Estonia, invoices come from an Estonian entity under reverse-charge rules. If your team grew mid-month, seat changes land on the next invoice as pro-rated lines. If you bought LeadBooster or Campaigns recently, those charges may ride on the main invoice or get their own PDF depending on timing.
Pipedrive bills per user per month across Essential, Advanced, Professional, Power, and Enterprise tiers. Add-ons like LeadBooster, Campaigns, and Projects are billed separately per user per month on top of the base plan. A small team on Professional plus two add-ons can easily generate one main invoice plus two add-on invoices every month, each with its own renewal logic. Check all three when reconciling.

The pain arrives when the invoice stack fragments. A team on Professional plus LeadBooster plus Campaigns can produce three separate invoices in a single billing cycle, each with a different line-item structure. Seat additions mid-cycle land as pro-rated entries that are easy to miss when eyeballing a PDF. Annual contracts charge the full year upfront, which dwarfs every other month and throws off monthly cash-flow reports if you do not split the charge in your books.
VAT handling is another round of fiddling for EU teams. The Estonian entity and reverse-charge mechanism are standard for EU SaaS, but every accountant new to the vendor asks the same questions: which country is this invoice from, why is there no VAT line, and is the registry number on the footer really enough for a compliant filing. It is, but you end up explaining it every quarter-close.
Pipedrive does not expose invoice PDFs through a documented public API, so programmatic export is not a supported path. The Billing tab is admin-only, which means either your bookkeeper gets an admin seat or somebody on the sales operations team remembers to forward PDFs every month. Neither is a great long-term answer.

Pro tips
- Pipedrive bills per user per month on five tiers (Essential, Advanced, Professional, Power, Enterprise). Adding a single user mid-month generates a pro-rated line on the next invoice rather than a separate document, so check the math before forwarding to your accountant.
- Annual billing is roughly 17 percent cheaper than monthly on every tier, but the full year is charged upfront on a single invoice. If cash flow matters more than the discount, stay monthly and pay the premium.
- LeadBooster, Campaigns, Projects, and Smart Docs are add-ons billed separately per user per month on top of the base subscription. They can appear as extra line items on your main invoice or as separate invoices depending on when you purchased them. Check both when reconciling.
- Pipedrive is operated by Pipedrive OÜ, an Estonian entity based in Tallinn. EU business customers who provide a valid VAT ID get reverse-charge VAT treatment on invoices, which means no VAT is charged and you account for it locally. Add your VAT ID before the next billing cycle or past invoices will stay with VAT already applied.
- Only the account Admin and users with a custom role that includes billing access can see the Billing tab. Sales Managers, regular users, and view-only seats cannot download invoices. Decide early whether your bookkeeper gets an admin seat or whether someone else handles the monthly download.
- Downgrades and seat removals take effect at the next renewal, not instantly. Canceling mid-year on an annual plan does not trigger a refund by default. Plan subscription changes around your renewal date to avoid paying for seats you no longer use.
