Step-by-step: download invoices from HubSpot
- 1
Open Account & Billing from the main menu
Sign in at app.hubspot.com, click the Settings icon (gear) in the top navigation, then choose Account & Billing. If you manage multiple HubSpot portals, use the portal switcher in the top-right to pick the right one first.
- 2
Go to the Billing section and find Invoice history
Inside Account & Billing, click the Billing tab. Scroll to the Invoice history section. You will see a table of issued invoices with date, amount, and status columns.
- 3
Download the PDF for each invoice
Click the three-dot menu on the invoice row or the invoice number itself, then choose Download invoice. HubSpot issues one invoice per billing cycle plus separate invoices for add-on purchases or upgrades mid-cycle.
- 4
Rename and file the PDFs
Use a naming pattern like date plus HubSpot plus amount so the files sort cleanly by month. If you manage multiple HubSpot portals (for different brands or test environments), keep them in separate folders to avoid confusion.
About HubSpot billing
HubSpot manages your CRM, marketing, sales, and service. Finding the invoices at month-end so finance can close the books is not part of the same polished flow.
If your organization uses multiple Hubs, runs separate portals for test or sandbox environments, or bought add-ons mid-cycle, the invoice stack gets messy fast.
HubSpot bills per Hub (Marketing, Sales, Service, Content, Operations), with each appearing as a line item on the invoice. Add-on purchases for extra contacts, custom objects, or reporting seats often generate separate invoices at the time of purchase, not at the next billing cycle. Check both scheduled and one-off invoices when reconciling.
About HubSpot
HubSpot, Inc., founded in 2006 and publicly traded since 2014, offers an integrated CRM platform covering marketing automation, sales pipelines, customer service, content management, and operations tooling. Its tiered subscription model scales with contacts, users, and features, with Hubs combining into a single bundled invoice or separating when purchased through different sales motions. HubSpot Partner agencies often manage client portals, which routes billing through the partner rather than the end customer, adding another layer to track.
Manual vs automated
Manual
- Sign in to HubSpot
- Open Settings → Account & Billing → Billing
- Scroll to Invoice history
- Click each invoice, download PDF
- Rename and file by billing cycle
- Forward to accountant
Automated with Inbox Ledger
- Connect HubSpot once in Inbox Ledger
- New invoices land in your dashboard automatically
- Export to Drive, Sheets, or your accounting system
Why people stop doing this by hand
One HubSpot portal on one Hub is simple to handle manually. Twelve invoices a year, no complications.
Teams running multiple portals (production plus sandbox, or several brand portals under one parent company) discover the monthly ritual adds up. Mid-cycle add-ons generate extra invoices nobody expects. Annual renewals come with invoice arrival up to 30 days early, which throws off when you expect them to land. The HubSpot API does not expose invoice PDFs directly, so automation requires either screen scraping or a tool that handles it for you.
Marketing contact billing is another source of confusion. Growth in your email list does not always cause a charge increase, but crossing a tier threshold does, and the jump can be steep. Finance teams end up forensically reviewing contact activity to explain a surprise invoice to the CFO.
Next step
If you have a single HubSpot subscription on a predictable annual contract, manual download handles it. If you run multiple portals, buy add-ons mid-cycle, or just want the PDFs to land in one place without clicking, connect HubSpot to Inbox Ledger and get on with actual marketing.
Where to look in the dashboard
- Settings → Account & Billing → Billing is where invoices live
- Settings → Account & Billing → Company info is where your legal entity details are stored
- Settings → Users & Teams is where you control who sees billing
- Partner-managed portals route billing through the partner, not directly to the end customer
Before you start — quick checklist
- Your legal entity name and billing address appear correctly on the invoice
- Tax ID or VAT number is printed if your country requires it
- Amount matches what HubSpot charged your payment method
- Invoice covers the correct subscription period plus any pro-rated charges
- The document is a finalized invoice, not a proforma estimate or credit memo
Pro tips
- HubSpot bills per Hub (Marketing, Sales, Service, Content, Operations). If you have multiple Hubs, each appears as a line item on the single invoice.
- Annual plans are invoiced upfront once a year; monthly plans are invoiced each month. Renewal invoices may arrive up to 30 days before your renewal date.
- Your VAT ID must be added in Account & Billing → Company info before the invoice is issued. Past invoices cannot be edited retroactively.
- Add-on purchases (extra contacts, custom objects, reporting seats) appear as separate charges, sometimes mid-cycle. Check itemization carefully for these.
- If your HubSpot portal is part of a HubSpot Partner managed account, your invoices may be routed through the partner instead of directly to you. Check with your partner if invoices are missing.
