Step-by-step: download invoices from Meta Ads
- 1
Open the Payment activity page in Meta Business
Sign in at business.facebook.com, then go to Billing → Payment activity. If you manage more than one ad account, use the ad account picker at the top of the page to select the right one.
- 2
Filter by date range and transaction type
Use the date filter to pick a month, quarter, or custom range. Set the transaction type filter to "All transactions" so receipts and refunds are both visible.
- 3
Download the invoice or receipt for each charge
Click a transaction to open its details panel, then hit Download receipt. For monthly invoicing accounts, click Download invoice instead. You can download invoices one by one; Meta does not offer a bulk ZIP export from the UI.
- 4
File each PDF by date and ad account
Rename with a consistent pattern (date plus ad account ID plus amount) so the files sort chronologically. If you run multiple ad accounts for different entities, keep them in separate folders to avoid mixing them up at tax time.
About Meta Ads billing
Meta Ads happily spends your budget across Facebook, Instagram, Messenger, and the Audience Network. Getting the receipts back out so your accountant can match them to bank charges is a slower process.
If you run ads for more than one brand, own multiple ad accounts, or bounce between currencies, the monthly download exercise becomes a Tuesday afternoon ritual nobody enjoys.
Most Meta Ads accounts receive receipts, not formal invoices. Switching to monthly invoicing requires spend-based eligibility and a manual application. For most small and mid-size advertisers, receipts from Payment activity are what you download and what your accountant works with.
About Meta Ads
Meta Platforms, Inc. operates the advertising systems behind Facebook, Instagram, Messenger, and WhatsApp. The ads management layer, Meta Business (formerly Facebook Business Manager), hosts billing for every ad account linked to a business. Each ad account has its own payment method, billing history, and tax setup. Agencies and holding companies typically run dozens of ad accounts under a single Business Manager, which means dozens of separate billing histories to pull from.
Manual vs automated
Manual
- Log in to Meta Business with 2FA
- Pick the right ad account
- Open Billing → Payment activity
- Filter by date
- Download receipt or invoice per transaction
- Rename and sort by entity
Automated with Inbox Ledger
- Connect Meta Business once in Inbox Ledger
- New receipts land in your dashboard automatically
- Export to Drive, Sheets, or your accounting system
Why people stop doing this by hand
Running one ad account with a single card on file is manageable. Running ad accounts for six client brands, each with its own billing history, for twelve months of the year, is not.
The Meta Marketing API technically exposes billing data, but implementing it requires engineering time most marketing teams do not have. The CSV summary export does not include the PDF receipts, which are what accountants need for the audit trail. This is the point most agencies either hire a part-time bookkeeper or automate the whole pipeline.
Meta Ads is one of the portals our Chrome Extension auto-detects. Install it, open your Payment activity page in the normal way, and the extension picks up new receipts in the background. No OAuth setup, no Business Manager scripts, no missed ad accounts.
Next step
If you run a single ad account for a single brand and your card statement matches, manual is fine. If you already opened this page because the quarterly download is getting old, connect Meta Business to Inbox Ledger once and stop clicking.
Where to look in the dashboard
- Billing → Payment activity is where individual receipts and invoices live
- Billing → Payment settings is where you add tax ID and change payment methods
- Business Settings → Business Info stores your legal entity details printed on every invoice
- Each ad account in Business Manager has its own separate billing history
Before you start — quick checklist
- Legal entity name on the invoice matches your registered business
- Tax ID or VAT number is printed if your country requires it
- Amount matches what Meta charged your payment method
- The document is an invoice or a receipt, not a payment notice
- Billing period on the invoice covers the period you expected
Pro tips
- Most Meta Ads accounts get receipts, not formal invoices. To switch to monthly invoicing you need to qualify based on spend and go through Meta's application process.
- Adding your VAT ID in Business Settings → Business Info updates future receipts. Past receipts cannot be edited.
- If you spend in a currency different from your bank's base currency, the receipt shows both the billed amount and the converted amount. Use the billed amount for bookkeeping.
- Refunds and credits appear as separate line items in Payment activity, not as edits to the original charge.
- The Meta Business interface changes often. If the menu labels shift, the destination is still Billing → Payment activity.
