Step-by-step: download invoices from Shopify
- 1
Open Settings in your Shopify admin
Sign in at admin.shopify.com and pick the store you need. Click Settings in the bottom-left corner. If you manage multiple stores, switch stores from the store picker in the top bar first.
- 2
Go to Billing and open Bills
In Settings, select Billing. The page shows your current plan, payment method, and a Bills section with every charge Shopify has issued. That includes platform subscription, themes, apps billed through Shopify, and transaction fees.
- 3
Pick the bill you want and view it
Click any row in the Bills list to open the full invoice. Shopify shows the line items, tax breakdown, and total. The View bill link takes you to the printable version.
- 4
Download the PDF
Use the Download button at the top of the bill page to save the PDF. If you only need a single line item (an app bill, for example), each app charge has its own bill row and its own PDF.
- 5
Store the file with a clear name
Rename the file with store name, bill date, and amount before you forget which of your three Shopify stores it belongs to. Drop it into the folder your bookkeeper expects.
About Shopify billing
Shopify is built for selling. It is not built for making your bookkeeper happy at month-end.
Every Shopify store racks up charges in three places at once: the platform subscription, a handful of paid apps, and theme purchases. Each has its own bill, its own cycle, and its own PDF. Multiply by the number of stores you run and you have a meaningful chunk of someone's Friday afternoon.
Shopify bill dates follow your original upgrade date, not the calendar month. If your plan renewed on the 17th and an app was installed on the 3rd, expect two separate bills dated two weeks apart. Sort your downloads by bill date, not install date, to keep them in order.
About Shopify
Shopify Inc. is a Canadian commerce platform founded in 2006 by Tobias Lutke, Daniel Weinand, and Scott Lake. Headquartered in Ottawa, it powers millions of merchants across every plan tier from Starter to Shopify Plus. Shopify bills you for the platform subscription, plus any apps installed from the App Store that use Shopify billing, plus theme purchases, plus transaction fees on non-Shopify Payments checkouts. Each of those charges is its own bill with its own PDF.
Manual vs automated
Manual
- Log in to each Shopify store
- Open Settings then Billing then Bills
- Click each bill to view it
- Download the PDF one at a time
- Rename with store and date
- File in your accounting folder
Automated with Inbox Ledger
- Connect Shopify once in Inbox Ledger
- Every new bill appears in your dashboard with the PDF attached
- Export to Drive, Sheets, or your accounting app
Why people stop doing this by hand
One store, one plan, one app is fine. Three stores across two entities, fifteen apps, and a year of theme experiments is a workday. The Shopify admin has no bulk download, no API-less automation, and no way to forward bills as attachments to a shared mailbox. Agencies and operators running multiple stores usually hit the wall around store number two.
The Bills list will happily show you every charge. It will not put the PDFs in one folder for you, tag them by store, or match them against your card statement. That is the part finance teams care about, and it is the part Shopify leaves to you.
Shopify is one of the portals our Chrome Extension auto-detects. Install it, open your Shopify admin, and the extension picks up new bills as they appear. Works for agencies managing several stores at once and stays in sync with the main Inbox Ledger dashboard.
Next step
If you run one store and one plan, manual works. If you are an agency, a multi-brand operator, or anyone with more than a handful of apps on the bill, connect Shopify to Inbox Ledger and stop clicking.
Where to look in the dashboard
- Settings → Billing → Bills is where platform and app charges live
- Finances → Payouts is where Shopify Payments payouts live (not bills)
- Settings → Billing → Payment methods shows which card or bank Shopify charges
- Shopify Plus billing is handled outside the admin, through your account manager
Before you start — quick checklist
- The store name on the bill matches the entity you are filing under
- App charges are separated from the platform subscription
- Transaction fees are listed in the right currency for your payout region
- Tax (VAT, GST, or sales tax) is broken out if your country requires it
- The PDF shows a bill number, not a draft or preview reference
Pro tips
- Shopify bills every 30 days from the day you upgraded, not on the first of the month. Check the date range on each bill.
- Apps installed through the Shopify App Store are billed by Shopify and show up in Bills. Apps billed directly by the developer do not.
- Shopify Plus merchants have a separate invoicing flow handled by their merchant success manager. Ask them if you cannot find a bill.
- The Payments section at Finances shows payout reports, which are different from bills. You need both for a full picture.
- If you switch plans mid-cycle, Shopify prorates the charge and issues a credit on the next bill. The math is on the bill itself.
