How to get Alibaba invoices

Sign in to Alibaba as a buyer
Go to alibaba.com and sign in. Click My Alibaba in the top-right corner. Make sure you are on the buyer-side dashboard, not a supplier account. The URL should include my.alibaba.com.

Open Orders
In My Alibaba, click Orders in the left menu. You will see all of your Trade Assurance and non-Trade Assurance orders listed. Filter by date range and order status to narrow down the month you are reconciling.

Open each order and find the invoice
Click on an order number to open the detail page. Scroll down to the Payment and Documents section. For Trade Assurance orders, Alibaba holds a Commercial Invoice PDF issued by the supplier plus a Trade Assurance record. For non-Trade Assurance orders, the invoice is whatever the supplier sent you directly through messages or email.

Download the PDFs
Click the download icon next to each document. Typical documents include Commercial Invoice, Packing List, and Bill of Lading for shipped orders. Not every supplier uploads all three, so chase missing ones through the Messages tab.

Archive with order number and supplier name
Rename each PDF with the order number, supplier company, and date. Alibaba order numbers are long and non-descriptive, so a clear filename is the only way you will find a specific order six months later.
About Alibaba billing
Alibaba connects you to factories. It does not connect you to a tidy filing cabinet of PDFs.
Every order ships with a different supplier, a different invoice format, and a different level of diligence on whether the paperwork is complete. For importers running regular purchase orders, the documentation chase is a second job.
Commercial Invoices on Alibaba are issued by the supplier, not by Alibaba itself. Quality and format vary wildly. For customs clearance and your accountant, request a version with company letterhead, stamp, Incoterms, and clear HS codes. Ask for it before you pay, not after the container ships.

Why people stop doing this by hand
Importers running more than a handful of supplier orders a month quit the manual approach fast. Suppliers upload invoices at inconsistent times. Some use the platform, some email, some send PDFs through WeChat, some forget entirely until reminded. Tracking which invoices are in hand before a container clears customs becomes its own project.

Before you start — quick checklist
- Commercial Invoice PDF is from the supplier with their company seal or letterhead
- The invoice matches the Trade Assurance amount held by Alibaba
- Incoterms (FOB, CIF, EXW) are clearly stated on the invoice
- Your company name on the invoice matches the name you use to clear customs
- Packing list and Bill of Lading are downloaded for shipped orders, if your freight forwarder needs them
Pro tips
- Trade Assurance orders have Alibaba-mediated invoices. Non-Trade Assurance orders rely on whatever the supplier emails you directly, which is often messy.
- Suppliers sometimes send invoices through Alibaba messages as attachments instead of uploading to the order page. Check both.
- For customs, the Commercial Invoice on the order page is usually the one you need. Your freight forwarder may ask for a second version with specific HS codes.
- Alibaba fees (refundable deposits, service fees) are billed separately from supplier invoices. Check Finance in My Alibaba.
- If you pay through Alibaba Escrow or Trade Assurance, your card statement will show Alibaba as the merchant, not the supplier. The invoice still comes from the supplier.
