Where do I find Alibaba invoices for my orders?

Who issues the invoice on Alibaba, the supplier or Alibaba?

The supplier issues the commercial invoice, because that is the party legally selling you the goods. Alibaba is the platform that facilitates the order. You may also see Alibaba-issued platform fee invoices for Trade Assurance service fees or membership fees, but the main invoice for the goods comes from the supplier's company.

What is the difference between Trade Assurance invoices and regular Alibaba invoices?

Trade Assurance is Alibaba's escrow and dispute protection service. Orders placed through it have a standardized invoice format that Alibaba verifies before releasing payment to the supplier. Non-Trade Assurance orders have no such verification. The supplier invoice can be anything from a branded PDF to a Word document, so quality varies a lot.

Why is my supplier invoice missing or in the wrong format?

This happens often with first-time orders from smaller suppliers. Message the supplier through Alibaba and request a Commercial Invoice in PDF format with their company letterhead, stamp, and Incoterms. Most will send it within 24 hours. If they refuse, escalate through Trade Assurance if the order is covered, or consider the risk for future orders.

Can I download all my Alibaba invoices at once?

No, the Orders page requires clicking into each order and downloading documents one at a time. Suppliers upload at their own pace, so even a bulk download would not be complete. High-volume importers usually track invoices in a separate spreadsheet and use the Alibaba API or a tool like Inbox Ledger for consistent document collection.

How do I get a VAT-compliant invoice from an Alibaba supplier for EU imports?

Chinese suppliers do not charge EU VAT, so their invoice will not show a VAT line. You pay import VAT at customs when the goods arrive in the EU, and that is a separate document issued by your customs broker or freight forwarder. The supplier's Commercial Invoice is still needed for customs clearance, but it is not a VAT invoice in the European sense.

Do Alibaba platform fees have their own invoice?

Yes, if you pay for Alibaba membership, Trade Assurance fees, or other platform services, Alibaba issues its own invoice separately from the supplier's Commercial Invoice. These appear under My Alibaba, then Finance. Your accountant will want both documents. The supplier invoice covers cost of goods, the Alibaba invoice covers platform fees.

My order has a Packing List but no Commercial Invoice. What do I do?

Message the supplier and ask them to upload the Commercial Invoice to the order page. The Packing List is a shipping document showing what is physically in the box. The Commercial Invoice is a financial document showing the value of the goods. Customs will reject shipments that have one without the other for anything above the low-value threshold in your country.

Sign in to Alibaba as a buyer
Go to alibaba.com and sign in. Click My Alibaba in the top-right corner. Make sure you are on the buyer-side dashboard, not a supplier account. The URL should include my.alibaba.com.

Open Orders
In My Alibaba, click Orders in the left menu. You will see all of your Trade Assurance and non-Trade Assurance orders listed. Filter by date range and order status to narrow down the month you are reconciling.

Open each order and find the invoice
Click on an order number to open the detail page. Scroll down to the Payment and Documents section. For Trade Assurance orders, Alibaba holds a Commercial Invoice PDF issued by the supplier plus a Trade Assurance record. For non-Trade Assurance orders, the invoice is whatever the supplier sent you directly through messages or email.

Download the PDFs
Click the download icon next to each document. Typical documents include Commercial Invoice, Packing List, and Bill of Lading for shipped orders. Not every supplier uploads all three, so chase missing ones through the Messages tab.

Archive with order number and supplier name
Rename each PDF with the order number, supplier company, and date. Alibaba order numbers are long and non-descriptive, so a clear filename is the only way you will find a specific order six months later.

Why people stop doing this by hand
