Step-by-step: download invoices from AliExpress
- 1
Sign in to AliExpress
Go to aliexpress.com and sign in to your buyer account. Hover over the account icon in the top-right and click My Orders. The URL aliexpress.com/p/order/index.html takes you there directly.
- 2
Filter orders by date and status
The My Orders page shows every purchase. Use the date filter to narrow to the month or quarter you need. Completed orders are the ones with downloadable invoices. Orders still in transit usually do not have a finalized invoice yet.
- 3
Open an order and find the invoice section
Click View Details on each order row. Scroll to the bottom of the order page. AliExpress shows an Invoice link or a View Receipt button depending on the seller. For orders from sellers who support VAT invoicing, a specific Download VAT Invoice option appears.
- 4
Download the PDF
Click the download link and the PDF opens in a new tab. Save it to your accounting folder. If a seller has not provided a VAT invoice and you need one, use the Message seller button to request one. Most sellers will send it within a day or two.
- 5
Repeat for every order
This is the tedious part. AliExpress has no bulk download. Rename each PDF with order number and seller name so you can find the right one during a tax audit without losing the rest of your afternoon.
About AliExpress billing
AliExpress is fine at moving fifty small packages across the world. It is less fine at making the paperwork land in one folder.
Every seller has a different approach to invoicing. Every order has its own receipt page. Every VAT rule depends on the year, the seller, the country, and the order size. For a dropshipper or small importer doing a few dozen orders a month, the document side of things quickly turns into a second job.
EU and UK buyers: AliExpress collects VAT at checkout for small orders and issues VAT invoices automatically. For bigger orders, import VAT happens at customs and the paperwork comes from your courier or customs broker, not AliExpress. Keep both documents for the same shipment to stay clean.
About AliExpress
AliExpress is the retail-facing global marketplace operated by Alibaba Group, launched in 2010. It connects individual buyers worldwide to smaller Chinese sellers, and increasingly to sellers from other countries. Unlike Alibaba, which is wholesale-focused, AliExpress is geared for smaller quantities and consumer orders. Invoicing varies by seller and by region. The platform has improved significantly since the 2021 EU VAT changes, but document quality still depends on the seller.
Manual vs automated
Manual
- Sign in to AliExpress
- Open My Orders
- Click View Details on each order
- Download invoice or receipt one at a time
- Message sellers who forgot to issue invoices
- Rename and file each PDF
Automated with Inbox Ledger
- Connect AliExpress once in Inbox Ledger
- Order invoices land in your dashboard
- Export to Drive, Sheets, or your accounting app
Why people stop doing this by hand
Dropshippers are the obvious example. Anyone running a Shopify store fulfilled through AliExpress is placing dozens of orders a week. Hand-downloading every invoice becomes a multi-hour monthly task, and it does not scale past a hobby business.
Even occasional buyers hit friction. Sellers who forget to upload invoices, different VAT handling for orders above and below thresholds, receipts that are not formally invoices. It adds up fast, and the AliExpress admin does not help you batch it.
The AliExpress Business dashboard (for verified business accounts) has somewhat better invoice export tools, including a consolidated monthly statement of purchases. If you order regularly for a business, upgrading to the Business tier is worth doing for the document side alone. Even then, matching each PDF against your books for a high-order month stays manual unless you automate.
Next step
If you buy from AliExpress three times a year, manual works. If you are a dropshipper, small importer, or anyone placing regular orders, connect AliExpress to Inbox Ledger and let the invoices show up on their own.
Where to look in the dashboard
- My Orders is where all purchase invoices live
- Message Center is where seller-sent invoices arrive if not uploaded to the order page
- Account Settings → Tax Information is where you add your VAT number for EU and UK invoices
- AliExpress Business Dashboard has a dedicated invoice export tool for verified business buyers
Before you start — quick checklist
- The invoice PDF is from AliExpress or the seller, not just a screenshot of the order page
- The amount matches your card statement including any currency conversion
- VAT is broken out if you are in the EU or UK and ordered from a VAT-registered seller
- Your name and address on the invoice match your billing records
- The seller's legal name (not just their AliExpress store name) is visible on the PDF
Pro tips
- EU buyers. Since July 2021, AliExpress collects VAT for orders under 150 EUR and issues VAT-inclusive invoices automatically. Orders above 150 EUR are handled at customs.
- For non-VAT sellers, the downloadable receipt may just be an order confirmation, not a formal invoice. Ask your accountant if that works for your records.
- AliExpress differs from Alibaba. AliExpress is retail-oriented, smaller orders, shipped from sellers directly. Alibaba is wholesale. Invoice formats and processes are not interchangeable.
- If an order is split into multiple packages, the invoice is typically still a single document for the whole order. Verify on the PDF before filing.
- AliExpress Business accounts (for dropshippers and resellers) have slightly better invoicing tools under the Business dashboard. If you order regularly for a business, upgrade.
