How to get Calendly invoices

    Sign in to your Calendly admin center

    Go to calendly.com and sign in with the account that owns billing. Click your avatar in the top-right corner, then choose Admin Center. If you are on a Standard or Teams plan with a single owner, billing lives under Account Settings instead. Teams and Enterprise customers see the full Admin Center.

    Navigate to Billing

    In the Admin Center sidebar, click Billing. The direct URL is calendly.com/app/admin/billing. On Standard plans, the equivalent page is at calendly.com/account/billing and has a slightly different layout. Either path lands you on the same page with plan details and invoice history.

    Click View invoices and download each PDF

    Scroll to the Invoice history block and click View invoice next to each row. Calendly generates invoices through Stripe, so clicking opens a Stripe-hosted invoice page with a Download invoice button. Save the PDF for each billing cycle you need to archive.

    Update billing information before the next renewal

    On the same Billing page, find the Billing details block and enter your legal entity name, address, and tax registration number. Future invoices will include it. Past invoices cannot be edited by you, but Calendly support will reissue corrected copies on request.

About Calendly billing

Calendly is excellent at scheduling meetings. It is less excellent at handing you a clean stack of invoices when your accountant asks for the year.

Every paid Calendly plan produces at least one invoice per cycle, tucked behind a Stripe-hosted portal that you have to click into one row at a time. For a single Standard user that is one click a year. For a Teams plan with 30 seats and frequent user churn, it adds up.

Calendly does not prorate refunds when you remove a user mid-cycle. If you hire someone on day 28 of the cycle and remove them on day 32, you still paid for a full seat on the cycle that included that window, and there is no credit. Schedule user changes close to the renewal date to minimize wasted seats.

  • Invoice plan line matches the tier your account is actually on (Standard, Teams, or Enterprise)
  • Seat count on the PDF matches the users who had paid access during the period
  • Your company legal name is on the invoice, not a personal email
  • VAT, GST, or equivalent tax line appears where required
  • Annual plans show one upfront invoice rather than twelve monthly ones

Pro tips

  • Calendly bills per paid user, not per booking page. A single user with five booking links counts as one seat.
  • Free users on your Teams account still show in the admin console but do not appear on the invoice as billable seats.
  • Annual plans are invoiced upfront as one PDF. Mid-year seat additions produce small pro-rated invoices between renewals, not at the main renewal.
  • Switching from monthly to annual mid-cycle closes the monthly subscription with a final invoice and opens a new annual one with a fresh upfront invoice.
  • Calendly's free tier has no invoices. Upgrading from Free to Standard creates your first invoice and sets the billing email for all future ones.
