Step-by-step: download invoices from Notion

  1. 1

Open Settings inside your Notion workspace

Sign in at notion.so, then click Settings in the left sidebar. If you belong to multiple workspaces, make sure you are in the one that owns billing by checking the workspace switcher at the top-left corner.

  2. 2

    Go to Plans, then Billing

Under Settings, click Plans. The Billing section shows your current plan, seat count, and a list of past invoices. Owners and Workspace Admins see this by default. Members do not see invoices, only the plan name.

  3. 3

Click Download next to each invoice

Every invoice row has a Download action that opens the PDF. Notion issues invoices through Stripe, so the layout matches a standard Stripe invoice with Notion Labs as the seller. Save each file for the period you need.

  4. 4

Add your VAT or business details before the next cycle

On the Billing page, open Billing information and fill in your company name, billing address, and tax ID. Future invoices will include them. Past invoices cannot be edited but support can reissue corrected copies if you ask within the tax year.

About Notion billing

Notion is where your team writes everything down. The one thing it does not help you write down is the invoice history your accountant wants at the end of the quarter.

Invoices sit inside Settings, one per billing cycle, one PDF at a time. There is no aggregated view across workspaces, and Members without Admin role cannot see them at all.

If you pay per seat and your headcount fluctuates, check the Members log on the Billing page before renewal. Notion bills on the peak number of seats in a cycle, not the current number, so adding and removing someone in the same month still counts as a paid seat. This is the single most common surprise on a Notion invoice.

About Notion

Notion Labs Inc. is a productivity software company founded in 2013, headquartered in San Francisco. It sells a workspace product used for docs, wikis, project management, and databases. Plans are seat-based and tiered (Free, Plus, Business, Enterprise) with an optional Notion AI add-on. Payments are processed through Stripe, so invoices are generated with Stripe's standard layout and list Notion Labs as the seller.

Manual vs automated

Manual

  • Sign in to your Notion workspace
  • Open Settings and navigate to Plans then Billing
  • Click Download on each invoice
  • Rename each PDF
  • Repeat for every workspace you manage
  • Forward to your accountant

Automated with Inbox Ledger

  • Connect Notion once in Inbox Ledger
  • New invoices land in your dashboard automatically
  • Export to Drive, Sheets, or your accounting system

Why people stop doing this by hand

One workspace with stable headcount is fine. A holding company with five portfolio brands on five separate Notion workspaces, each with its own Plus or Business plan, is the common pain point. Each workspace has its own billing contact, its own invoice history, its own seat fluctuations, and none of it lives in one place.

Add the Notion AI per-seat line item and the monthly total shifts every cycle. Reconciling it against the card statement is where most finance teams decide to automate the collection step.

Next step

If you run one Notion workspace with stable seats, the Settings page is all you need. If you operate multiple workspaces or mix the AI add-on across teams, connect Notion to Inbox Ledger and let new invoices land with the rest of your subscription paperwork.

Where to look in the dashboard

  • Settings → Plans → Billing is the main location for invoices
  • Billing information block controls the legal entity and tax ID
  • Members settings shows who is consuming seats, useful before a renewal
  • Integrations at notion.so/my-integrations is a separate area, unrelated to billing despite the shared URL structure

Before you start — quick checklist

  • Invoice plan line (Plus, Business, or Enterprise) matches what your workspace is actually on
  • Seat count on the invoice matches the number of members you have been billed for
  • Your company name is on the invoice, not a personal email
  • VAT, GST, or equivalent tax is broken out where your jurisdiction requires
  • AI add-on charges, if any, appear as a separate line item on the invoice

Pro tips

  • Notion AI is billed as an add-on per seat. It shows as its own line on the invoice, not a separate invoice, but the amount can surprise you if you rolled it out company-wide.
  • Annual plans are invoiced once upfront. Mid-year seat additions produce small pro-rated invoices between renewals.
  • Guests on shared pages do not count as billable seats. Paying for guests is a common support ticket.
  • Workspace ownership transfers carry billing with them. If you hand off the workspace, confirm the new owner's billing email is current before the next renewal.
  • If you downgrade to the free plan, old invoices stay accessible as long as the workspace exists. Close the workspace and they are gone.
