Step-by-step: download invoices from Canva

  1. 1

    Open Account Settings in Canva

Sign in at canva.com, click your profile icon in the top-right, then choose Account Settings. If you manage more than one team, use the team switcher in the top-left sidebar to pick the one that owns the subscription before you go further.

  2. 2

    Navigate to Billing and teams

In Account Settings, click Billing and teams in the left sidebar. The direct URL is canva.com/settings/billing-and-teams. This page shows your active subscription, seats, payment method, and a Billing history section with every past invoice.

  3. 3

Click the download icon on each invoice row

Each entry in Billing history has a small download icon at the right edge. Click it to save the PDF. Canva generates the invoices directly, so the seller name on the PDF is the Canva entity that matches your region (Canva Pty Ltd for APAC, Canva UK Ltd for Europe, Canva US for the Americas).

  4. 4

Add your business details before the next renewal

On the Billing and teams page, click Edit billing details. Enter your legal entity name, tax ID (VAT, GST, ABN, or equivalent), and billing address. Future invoices will include those details. Past invoices cannot be edited by you but support can reissue corrected copies.

About Canva billing

Canva is great at making decks and social posts look good. It is less great at handing you a clean stack of invoices at the end of the year.

Every Canva Pro, Teams, or Enterprise subscription produces at least one invoice per cycle, plus separate invoices for any Canva Print or Canva Docs Pro add-on purchases you have made along the way.

Canva has three separate regional billing entities (Australia, UK, and US). If your company moved countries but your Canva account did not, your invoices are still issued by the original entity. For cross-border VAT reclaims this can cause headaches with your tax authority. Migrate the account to the correct region via Canva support before the next renewal.

About Canva

Canva is a graphic design platform founded in 2013 in Sydney, now headquartered between Sydney, Austin, and other hubs. It sells Pro and Teams subscriptions for individual creators and small businesses, plus an Enterprise tier for larger organizations. Payments are processed directly through Canva's own payment stack, with invoices generated by the regional Canva entity that matches your country of signup. Add-ons like Canva Print, Canva Docs Pro, and Canva for Education carry their own billing flows.

Manual vs automated

Manual

  • Sign in to Canva
  • Open Account Settings and Billing and teams
  • Click download on each invoice row
  • Grab Canva Print invoices from Orders separately
  • Rename and save each PDF
  • Send to your accountant

Automated with Inbox Ledger

  • Connect Canva once in Inbox Ledger
  • New subscription and print order invoices land in your dashboard automatically
  • Export to Drive, Sheets, or your accounting system

Why people stop doing this by hand

A freelancer on Canva Pro annual gets one invoice a year and is done. A marketing agency running Canva Teams with 25 seats, occasional Canva Print jobs for client events, and an education nonprofit side-account is a different story. The invoices live in two different places (Billing history and Orders) and the regional entity differs per account.

Enterprise customers often have the added wrinkle of centralized procurement expecting one invoice per quarter, while Canva invoices per seat change per month.

Next step

If you run one Canva Pro seat on annual billing, nothing to automate. If you mix Teams, Print orders, and multiple regional accounts, let Inbox Ledger capture each invoice where it lands and keep your books reconciled without the manual scavenger hunt.

Where to look in the dashboard

  • Account Settings → Billing and teams is the main location
  • Edit billing details controls the legal entity name and tax ID on future invoices
  • Canva Print orders live under Orders, not Billing history, and invoice separately
  • Team management shows who consumes which seat, handy before a renewal

Before you start — quick checklist

  • Invoice plan matches your current tier (Pro, Teams, or Enterprise) and seat count
  • Your company legal name is on the invoice, not just your personal email
  • The correct regional Canva entity is listed as the seller (matters for cross-border VAT)
  • Tax lines (VAT, GST, ABN-exempt) appear where your jurisdiction requires
  • Annual plans show one lump sum invoice, not twelve monthly ones

Pro tips

  • Canva has three regional billing entities depending on where you signed up. Switching regions is not straightforward and can leave old invoices issued by the old entity, which matters for cross-border VAT reclaims.
  • Canva Teams bills on the total seat count at the moment of renewal, not average through the month. Adding and removing seats in the same cycle still counts for billing.
  • Print and physical product orders (posters, merch, Canva Print) generate their own separate invoices outside the main subscription one.
  • Education and nonprofit discounts are applied per renewal, not retroactively. If your eligibility changes mid-cycle you pay the full rate until the next renewal.
  • Team owners can transfer billing ownership to another admin. The new owner sees the full invoice history once the transfer completes.
