Step-by-step: download invoices from ClickUp
- 1
Open Workspace Settings
Sign in at app.clickup.com, click your workspace avatar in the bottom-left, then choose Settings. You must be the workspace owner or an admin with billing permission. Members cannot see billing.
- 2
Go to Billing
In the Settings sidebar, select Billing. The URL looks like app.clickup.com/{team-id}/settings/billing. Your team ID is the number in the URL of your main workspace view.
- 3
Scroll to Invoice history
The Billing page shows current plan details at the top and Invoice history at the bottom. Each row has the invoice date, total, and a download option.
- 4
Download each invoice
Click the download icon next to any invoice to save the PDF. If you pay in multiple currencies (some enterprise setups do), the currency is shown per row.
About ClickUp billing
ClickUp sells itself as one app to replace them all. Its invoice flow works, but it still lives in one more tab you have to remember to visit.
Billing is under Workspace Settings, visible only to admins with the right permission. If you run multiple workspaces, each one has its own Billing page and its own history.
ClickUp bills by the seat, and seat counts drift. If someone joins mid-month you will see a prorated line item on the next invoice. Reconcile against the seat count on the Members page before you assume something is wrong with the amount.
About ClickUp
ClickUp is a project management platform founded in 2017 by Zeb Evans. Based in San Diego, it offers Free Forever, Unlimited, Business, Business Plus, and Enterprise plans, with the paid tiers billed per seat per month (or per year with an annual discount). Add-ons like ClickUp AI and additional storage appear as line items on the main workspace invoice rather than as separate bills.
Manual vs automated
Manual
- Sign in and confirm admin role
- Navigate to Workspace Settings → Billing
- Scroll to Invoice history
- Download each PDF individually
- Rename and forward to your accountant
Automated with Inbox Ledger
- Point ClickUp billing email at Inbox Ledger once
- New invoices land in your dashboard automatically
- Export to Drive, Sheets, or your accounting system
Why people stop doing this by hand
One ClickUp workspace is manageable. Agencies and consultancies running a workspace per client are a different story. Multiply the monthly invoice download by the number of workspaces and you have a recurring task nobody claims ownership of.
Seat changes make matching trickier. Finance sees the charge, wonders why it jumped, and has to cross-reference the seat count in the UI against the invoice. Annual plans hide the problem until renewal, when a single four-figure invoice shows up and needs to be routed correctly.
There is also the quiet problem of admins leaving. When the person who set up ClickUp moves on, their billing permission goes with them unless you remembered to hand it off. The receipts keep arriving at an email that no one reads, and finance finds out six months later during a reconciliation.
Next step
If you run one ClickUp workspace and check billing once a month, the manual flow is fine. If you manage a few workspaces or just want invoices to appear in your accounting pipeline without any human remembering to look, connect ClickUp to Inbox Ledger once and move on.
Where to look in the dashboard
- Workspace avatar → Settings → Billing
- Direct URL pattern is app.clickup.com/{team-id}/settings/billing
- Members cannot see billing, only owners and admins with billing permission
- Enterprise plans include email invoices from your account manager
Before you start — quick checklist
- The invoice number is at the top of the PDF
- Your workspace name and billing entity are correct
- Seat count and plan tier match what you expected
- Tax is broken out if you added a tax ID
- The file is a proper PDF, not a preview image
Pro tips
- ClickUp workspaces are billed independently. Multi-workspace accounts need one trip per workspace.
- Annual plans show a single large invoice per year. Monthly plans generate twelve smaller ones.
- Seat additions mid-cycle create prorated charges on the next invoice, not a standalone one.
- The "Update billing info" link lets you change the entity name and tax ID. Past invoices are not reissued automatically.
- Enterprise customers with custom contracts receive invoices by email from billing@clickup.com, separate from the self-serve UI.
